Privacy Policy

Mechanical Room Solutions, LLC (“MRS,” “we,” “us”) runs this site and its sister office site (rfq.mrs-upstate.com and rfq.mrs-pa.com). This policy explains what we collect, why, and the choices you have.
What we collect
- Information you send us. When you submit a request for quote, register, sign in, use the contact or chat features, or upload files, we receive what you enter: name, company, email, phone, project details, and any specifications, drawings, or other documents you attach.
- Site usage. We set one first-party cookie (
mrs-visitor) containing a random ID, so we can tell repeat visits apart and show relevant follow-up links. It does not contain your email address. We also use Cloudflare Web Analytics and Apollo.io website visitor tracking on public pages, which may record pages viewed, referring site, approximate location, and the company associated with your network. - Sign-in cookies. Staff, contractor, and engineer accounts use secure session cookies to keep you signed in.
How we use it
- To prepare quotes, submittals, and proposals, and to follow up on your request.
- To run, secure, and improve the site.
- To send email you asked for or that relates to your project.
We do not sell your information, and we do not share it with anyone for their own marketing.
Google Drive
MRS staff can connect a Google Drive account to store job files. The site requests only the drive.file permission, which lets it see and manage only the folders and files it created itself, not anything else in that Drive. We use this access solely to store and retrieve job documents for our own work. We do not share Drive files publicly, use Google data for advertising, or transfer it to others except as needed to provide this feature or as required by law.
MRS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. The account owner can disconnect Drive in the site at any time, or remove access at myaccount.google.com/permissions.
Service providers
We rely on providers who process data on our behalf to run the site: Cloudflare (hosting, database, analytics, and the on-site chat assistant), Google (file storage for staff who connect Drive), Resend (email delivery), and Apollo.io (business contact and website visitor information). They may use the data only to provide their service to us.
How long we keep it
We keep project and contact records for as long as they are useful for quoting, warranty, and business records, or as the law requires. The visitor cookie expires after one year.
Security
The site is served only over HTTPS, staff areas require sign-in, and Drive access tokens are stored encrypted. No system is perfectly secure, but we work to protect what you share.
Your choices
You can block or delete cookies in your browser. To see, correct, or delete information we hold about you, or to stop emails, contact us below and we will respond within a reasonable time.
Children
This site is for construction and building professionals and is not directed to children under 13.
Changes
If we change this policy, we will post the new version here with a new effective date.
